Ensures accurate, timely and efficient order management for all customers. Supports the assigned Sales Director by providing accurate and timely communication with customers. Provides administrative support for Sales Directors as needed.

Principal and Essential Duties & Responsibilities

  • Assist Sales Directors with completion of Product Deficiency Reports, Promotion Requests, and other administrative forms as requested
  • Maintain assigned customer files to ensure accuracy of contact information and price levels
  • Obtain all orders before order deadlines
  • Enter orders, ensuring accuracy of item codes, case quantities, prices, ship-to location, and ship dates before order deadlines
  • Verify accuracy of order with customer by providing order confirmation no later than COB the day after order is received. Notify customer in writing of any inaccuracies on their purchase order
  • Distribute written notice of holiday order deadline changes to customers within 24 hours of receiving holiday schedule
  • Monitor order patterns and assist customers with their ordering process
  • Communicate deviations from order quantities, prices, or delivery dates to customers in a timely and professional manner
  • Distribute weekly price lists. Review Price Exception Reports (weekly and monthly). Price Exceptions must be communicated in writing to customers within 24 hours of receipt (copy the Sales Director or Sales Manager) and updated in the system within 48 hours. Provide written notification to customers and Sales Directors/Managers for price changes that require a 30 or 45 day lead time
  • Distribute invoices for each order shipped by COB Tuesday
  • Maintain regular contact with assigned sales directors, regional managers and accounts
  • When asked by Sales Support Manager, Sales Director or Sales Manager, call accounts to sell long and close-dated product

Minimum Education

High School diploma or eqivalent required. Associates Degree preferred.

Experience Requirements

  • Experience in customer service related activities
  • Experience working in a retail or wholesale company environment strongly preferred

Experience Preferred

  • Must be able to prioritize in order to complete all tasks within the allotted timeframe
  • Must exhibit politeness, confidence, tact, patience, and diplomacy while dealing with complex problems
  • Must be proficient in Microsoft Outlook, Word and Excel

Environmental Factors and Physical Requirements

Normal heated/ventilated office environment. May be occasionally subject to plant conditions (temperatures range from 28 – 50 degrees). Constant interruptions are normal. Some travel may be required.
